Job Description, Duties, and Requirements
The Education/HR Assistant is responsible for all the clerical/receptionist duties and organization of supplies and equipment for the Education and Human Resources Department and also performs other assigned duties.
Experience Two years of relevant clerical experience
required.
Working knowledge of Microsoft Office Suite
required.
Strong, positive customer service skills required.
Duties and Responsibilities
• Provides assistance, guidance and direction for employees, visitors and others; ascertains nature of
business and refers appropriately.
• Receives, handles and transfers phone calls and messages promptly and with courtesy.
• Serves as courier for department; delivers mail twice daily or as needed.
• Maintains, assesses need and orders supplies as needed; in–stock supplies ordered weekly.
• Schedules and maintains calendar of annual programs.
• Maintains an appropriate filing system of employee and student records.
• Compiles summary reports as requested.
• Copies materials as requested and/or needed maintaining adequate copies of standard forms used in
department.
• Maintains files efficiently and ensures that records are current and easily retrievable.
• Enters data into computer and manages data to produce required reports.
• Ascertains need for prepping and scanning as necessary.
• Ensures that files are scanned and archived for future access.
• Grades tests and posting of test results to employee records.
• Types and distributes notices and calendars.
• Utilizes word processing programs.
• Prepares Orientation packets with appropriate materials.
• Ensures that all new personnel are given a positive introduction to Stephens County Hospital
employment.
• Helps maintain up-to-date employee education transcripts.
• Coordinates scheduling of advance certification instructors.
• Types and delivers certification cards; maintains database of expiration dates in employee records.
• Reserves classroom space.
• Coordinates/collects A-V materials needed for classes.
• Operates A-V equipment as indicated.
• Assists staff in locating educational materials.
• Assists with registration of participants.
• Answers questions about educational offerings and assists potential participants in decision-making
process relative to registration.
• Assists with orientation and reorientation programs.
• Notifies staff of delinquent materials.
• Completes any audits assigned
• Assists with all education requirements
• Assists with any special projects in either HR or Education departments as needed
• Assists with data entry as needed
• Any other duties assigned

Non-Essential Functions
• Perform other duties as assigned or requested.

• Wear identification while on duty.
• Maintain regulatory requirements, including all state, federal and local regulations.

• Participate in performance improvement and continuous quality improvement activities.
• Attend regular staff meetings and in-services as needed.
Physical Requirements
• Good visual acuity and ability to communicate.
• Ability to lift, lower, push, pull, and retrieve objects weighing a minimum of 30 pounds including medical supplies and equipment. Reasonable assistance may be requested when lifting, pushing, and/or pulling are undertaken which exceeds these minimum requirements.
• Ability to withstand prolonged standing and walking.
• Ability to reach, stoop, bend, kneel, and crouch are required.
• May need to sit for up to 2-6 hours at a time.
